    Founded in 1925, ATCC is a non-profit organization with a mission to acquire, authenticate, preserve, develop, standardize, and distribute biological materials and information for the advancement and application of scientific knowledge. 


    The ACS/Gaithersburg Site Administrator will provide support to the ATCC Cell Systems (ACS) business unit and the Gaithersburg ATCC site in the form of logistics assistance, team coordination and business unit and site administration.

    Responsibilities

    1. Supports the Gaithersburg ATCC site by receiving and appropriately directing external customers and vendors, ensures information, data and materials necessary for business processes flow between the Gaithersburg, MD and Manassas, VA sites and coordinates the posting and communication of relevant company information.
    2. Assists the VP/GM ACS in scheduling and coordinating individual and departmental meetings, maintains schedules, deals with correspondence and mail, prepares slides and content for meetings and presentations, retrieves and performs analysis of data from organizational databases and other activities as required.
    3. Administers and coordinates the ACS/Gaithersburg site Intranet/SharePoint site. Coordinates and publishes new content to the Intranet page.
    4. Schedules travel and prepares and processes expense reports.
    5. Coordinates with HR, IT, Operations and other cross-functional groups in the scheduling of Gaithersburg based recruitment, IT systems, safety and other organizational processes and activities.
    6. Maintains up-to-date knowledge of company procedures for processing of administrative and financial documents.  Processes such documents accurately and in a timely fashion.
    7. Analyzes office and administrative procedures to improve flow; simplify record keeping systems and retrieval and processing of data.
    8. Acts as the custodian of program documents and records.
    9. Orders equipment and supplies for ACS and the Gaithersburg site; maintains office inventory. Stocks and monitors supply areas as assigned.
    10. Attends meetings at ATCC (Manassas), as needed.
    11. Performs other ancillary duties as assigned.

    Qualifications

    Education and Experience: 

    • A high school diploma or equivalent is required.
    • A minimum of seven years directly related administrative experience required, four of which must have been in the support of a sizable business unit requiring a high degree of organizational skills is required.
    • Must possess excellent PC, software and database experience; experience with an organizational ERP system is desirable.
    • Pertinent college level business courses highly desirable.

    • Demonstrates a professional business demeanor in all interactions with internal and external staff.Uses independent judgment and discretion in performance of duties.
    • Is highly organized and able to handle multiple priorities. Proactively identifies potential priority conflicts and is able to negotiate priority and schedule adjustments to enable program needs to be met.
    • Is able to maintain confidentiality of proprietary company and personnel information.
    • Has strong attention to detail and accuracy when delivering work product.
    • Possesses excellent written, verbal and interpersonal skills.
